Space Booking Policy

Library meeting rooms support the needs of the University community. Review our policy before reserving a space to ensure proper use and availability.

UM Libraries Space Booking Policy and Procedures

The UM Libraries Space Booking Policy and Procedures document applies only to the following spaces:

  • Room 103
  • Room 106D
  • Room 106E
  • Room 316, also known as Harrison Room

Who Can Reserve a Space?

UM-Affiliated Users

Undergraduate students, graduate students, and university faculty and staff can reserve a space by submitting a request using the Library’s Event Reservation Form.

Phone or in-person requests will not be accepted.

Library Employees

Library employees can reserve Room 103, Room 106D, or Room 106E by using their assigned LibCal account and completing the room booking process within the LibCal application.

Library employees can reserve Room 316, also known as Harrison Room, by submitting a request using the Library’s Event Reservation Form.

Phone or in-person requests will not be accepted.

User Expectations

All users are expected to leave the room as they found it. This includes:

  • resetting all tables and chairs to their normal position
  • taking all leftover food and drink with them or placing it in the trash can outside of their meeting space

Failing to complete these tasks may result in restricted booking requests.

Timelines

Room bookings are accepted on a semester basis:

  • Fall Semester: Start booking July 1
  • Spring Semester: Start booking November 1
  • Summer Term: Start booking April 1

Forms completed by 2 p.m. will be processed on the same day. Forms received after 2 p.m. will be processed no later than the next day.

Room Assignment

A room will be assigned based on the number of attendees, technology needs, function, and availability. We will always try to accommodate the first preference.

Room Maintenance

The library will:

  • routinely check that all spaces are stocked with standard supplies, including pens, pads, hand sanitizer, and whiteboard markers for rooms that include whiteboards
  • routinely check that all spaces are equipped with needed technology accessories to ensure equipment operates as intended

Technology Questions

Classroom technology issues, including computer, audio, or video issues, should be reported to Library IT in the following order:

  1. 662-915-5351
  2. 662-915-7677

For Room 106D and Room 106E, users can also contact Classroom Technology at 662-915-2850 if they are not able to reach anyone at the numbers listed above.

For Room 103 and Room 316, also known as Harrison Room, only contact 662-915-5351 or 662-915-7677.

Room Damage Reports

Room damage issues, including ceiling leaks or outlets not working, should be reported to Library Administration by email at libadmin@olemiss.edu.
